This is a ready-to-use log for tracking Certificate of Analysis results across lots of one material and supplier over time, so a slow drift toward a specification limit is visible before any single lot actually fails. Replace every <<FILL: ...>> placeholder, set your own review cadence, and route completed reviews through your normal document control. A filled worked specimen follows. This is general guidance to adapt and verify, not legal or regulatory advice.
How to use
Capture the key numeric result, or results, from every incoming CoA for the material and supplier in scope as it is reviewed, not in a batch after the fact. Review the running log at the defined cadence, and always as an input to the annual product review. A result trending toward a limit, even while every individual lot still passes, is escalated the same way a threshold-crossing finding would be.

Add a row per lot as each CoA is reviewed. Do not skip a lot because the result was unremarkable; an unremarkable result is itself part of the trend.

Acceptance criteria
A trending program is functioning when every incoming CoA result feeds the log at the time of review rather than in a later batch, the log is reviewed on its stated cadence independent of the annual product review, an escalation rule is defined in numeric terms rather than left to judgement at the point of review, and a triggered escalation reaches supplier quality with a documented action. A material under reduced or skip-lot testing keeps trending running on whatever results are still generated; testing less often is not a reason to trend less often.

The following shows an excipient’s water content trended over eighteen months. The supplier and numbers are illustrative.
Header: Material “Example excipient, NF grade”, code RM-0211; supplier ASL-033; test trended: water content (Karl Fischer); limit NMT 0.50%; cadence quarterly plus APR.

Review record: period 1 Jan 2026 to 30 Jun 2026; direction observed: water content trending up, from a historical average of 0.21% to a rolling average of 0.36% over the last two lots, against a 0.50% limit; escalation rule, half the distance from historical average to limit, that is above 0.35%, triggered by the 0.38% result. Action: supplier quality contacted the manufacturer, who confirmed a drying-step change introduced in Q1 2026; the material was placed back onto full testing pending a documented reassessment of the specification’s continued suitability, rather than waiting for a lot to actually exceed 0.50%. Common inspection findings this log prevents
- CoA results filed lot by lot with no running record, so a material drifting toward a limit stays invisible until a lot actually fails.
- Trending performed only once a year at the annual product review, missing months of drift a more frequent review would have caught.
- A reduced or skip-lot testing program that stopped trending once full testing stopped, removing the one control most likely to catch drift during the very period when fewer full tests are running.
- An escalation left to informal judgement at the point of review rather than a stated numeric rule set in advance.
How to adapt this log
- Set the log owner, review cadence, and escalation rule from your own material risk and historical variability, not the numbers in the specimen.
- Add a row per material-supplier combination you trend; one log instance per combination keeps the comparison clean.
- Link the escalation action to your supplier quality and, where applicable, reduced-testing procedures.
- Confirm every regulation cited against the current published version before issue.
